Sometimes it is helpful to offer an alternative if that is appropriate. If you cannot meet today, you can suggest another day. If you cannot help with a big task, you may offer smaller help. This shows goodwill without forcing you to promise too much. Still, an alternative is not necessary in every situation.

Your tone of voice and facial expression also matter a lot. Even the right words can sound rude if you speak coldly. For that reason, it is better to speak calmly, kindly, and confidently.
